Austin Chapter tailgate party help needed 3 years, 10 months ago #182

Fellow Austin Chapter Texas Cobra Club members,

As most of you are aware the TX Cobra Club March meet is coming up on the 27th-30th. The Austin Chapter has the 1st evening tailgate party and it has been decided that the Chapter will be having the meal prepared and served by the Manchaca Fire department who will be providing an "all you can eat" Catfish dinner with the fix'ins along with tea. The Dallas and Houston chapter folks will be doing something similar on the following 2 nights. So in effect, all 3 Chapters are feeding the TX Cobra Club members and families for 3 nights.

All 3 chapters are funding their own tailgate meals with the exception that some of the funds collected from the registration fees will be divided equally between the 3 Chapters, after the security and administration costs are covered. With current anticipated attendance, this works out to be about $600-$700 per Chapter for the meals.

Which brings us to why you are receiving this email. The fire department meal fee is $11 per plate and the Chapter is expecting to feed about 100-120 folks. If you take the maximum of 120 plates at $11 each, the cost is $1320, less the $600 from registration. That means we end up with $720 left to generate within our Chapter.

This is where you come in; the Austin Chapter is strongly requesting all members who participate in the Meet to pitch in their fair share to take care of the Thursday tailgate meals. Current registration (March 12) indicates 28 Austin attendees are signed up, which will amount to around $26 per member, assuming these numbers pan out to be accurate. Obviously if the numbers are greater or lesser, the amount will change accordingly.

By a majority of members that have been planning the 2008 Meet, it is felt that if you participate in this event and are considered a member of the Austin Chapter, you will be expected to do your part. If your not willing to do so, it is also felt that you and your spouse/family should not expect to be fed at this event.

Here is another way to look at this request - if you think about how much your being asked to pay, it is really cheap as you, your spouse and your family will be allowed to be fed 3 evening meals for that one fee, assuming you will attend all 3 nights. This is a pretty fair deal for such an activity.

Most of you should know Dee Walters, (Cammer), has been taking the lead on planning this Meet and he will be the one you should contact on your portion of the costs involved to make this Meet a successful one. If you have any questions, please contact him.

In closing, should you decide to ignore this request, you need to know you are putting an additional burden on the other Chapter members to carry your share just so you and your family get to eat.
